Getting a transcript from a Ghanaian SHS

The short answer

Ask your school for an official transcript of your SHS results so far: every subject and term grade from SHS 1 onwards, on school letterhead, signed and stamped by the headteacher. Your counsellor or headteacher uploads it with the school's part of the application. Later, you send your WASSCE results, and some universities ask WAEC to confirm them directly. Start the request in September.

How do I get a transcript from my SHS?

Ask your school for one, in writing, early in your final year. An SHS transcript is an official record of your results so far: every subject and every term or year from SHS 1, on school letterhead, signed and stamped by the headteacher. Your counsellor or headteacher then uploads it with the school's part of your application.

Many Ghanaian schools do not produce transcripts as a matter of routine. They issue terminal reports instead. So you may need to explain what a US university needs, and give the school time to prepare it.

What should the transcript show?

Everything a reader needs to understand your results without guessing. A good SHS transcript includes:

  • Your full name and date of birth, exactly as on your passport and application.
  • Every subject you took, in every term or year, from SHS 1 onwards.
  • The grade or mark for each, and the grading scale the school uses.
  • Your class position, if the school records one.
  • The school's name, address and contact details.
  • The headteacher's signature, the school stamp and the date.

The documents that carry a Ghanaian student's academic record to a US university, in order. In the autumn: the SHS transcript and school profile, sent by the school. During the year: mock results. After WAEC releases them: WASSCE results, then, if asked, an official WAEC confirmation sent directly to the university.
Your record arrives in stages. The transcript comes first; WAEC's confirmation comes last.

How do I ask my school for one?

In a short, polite letter to the headteacher, with the checklist above attached. Give the school at least four weeks before your first deadline. Something like this:

I am applying to universities in the United States for entry in 2027. They ask for an official transcript of my results from SHS 1 to date. Could the school issue one on letterhead, signed and stamped, listing every subject and term with my grades and the school's grading scale? I would be grateful if it could be ready by 15 October, so it can be uploaded with my application.

Hand it in person if you can, and follow up after a week. Offer to help gather the terminal reports the school will copy from. A headteacher who understands why the transcript matters is far more likely to prepare it well.

Do I need my transcript evaluated?

Usually not, for undergraduate admission to selective private universities. They read Ghanaian transcripts and WASSCE results themselves, and many know the system well.

A few universities, often large public ones, ask international applicants for a course-by-course evaluation from a credential evaluation service. That costs extra and takes weeks. Check each university's international requirements, and order an evaluation only where one is required.

Who sends it, and how?

Your school. On the Common App, the person acting as your counsellor uploads the transcript with the school report and school profile. Universities want academic records to come from the school, not from the student, so they can trust them.

How do I send my WASSCE results?

In stages, as the university asks. Usually that means:

  1. Before results: nothing, or predicted results from your school. Our guide to applying before WASSCE results covers this.
  2. When WAEC releases results: a copy of your results. Many universities also ask for the results checker serial number and PIN, so they can verify your results online.
  3. If asked: an official confirmation sent by WAEC directly to the university.

WAEC offers a result confirmation service, which sends a confirmed statement of results to an institution on your behalf. It charges a fee per statement per examination, plus delivery. Request it only when a university asks for it, and check WAEC's current fees and process on its own site.

What if I sat the WASSCE more than once?

Send every sitting the university asks for. Some universities want all your results; others take your best. Never leave out a sitting a university asks for, because WAEC's records will show it.

If you sat the examination again to improve a grade, say so briefly in the additional information section of the Common App. A reader who understands why you resat will read the improvement as effort, not as a problem.

What about the WASSCE certificate?

It comes later than your results, often months later, and universities rarely need it to admit you. They may ask for it after you arrive, to complete your records. Keep it safe, and keep a certified copy at home.

Make a folder for every academic document you have: terminal reports, the transcript, mock results, the WASSCE results slip and, later, the certificate. Scan each one as a clear PDF and name the files plainly. You will need them again for the I-20, the visa interview and, one day, for jobs and further study.

What if there is a problem with my school's records?

Act early, and explain. Common problems include a school that has closed, a change of school partway through SHS, or missing records from SHS 1. In each case:

  • Ask each school you attended for the records it holds.
  • Ask the district education office or the Ghana Education Service for help if a school cannot provide them.
  • Tell each university what has happened, briefly, through your counsellor or the additional information section.

Universities see unusual records every year. What worries them is a gap nobody explains.
